Document Submission

Once you've submitted your online application, you can begin submitting your supporting documents. Most programs will require you to include specific information or address specific questions in certain documents. Please refer to your program-specific admission requirements to ensure you are submitting all the required documents, with the correct information, in the right way. 

All application documents submitted become the property of Royal Roads University once received and will not be forwarded to third parties or returned (except for original transcripts when official copies are confirmed unobtainable). Documents produced by the applicant, such as resumes, personal statements, writing samples, portfolios, etc., may be copied and/or returned, though fees and/or other costs may apply. To protect your privacy, documents that are received without an active application will only be held for 30 days before they are subsequently destroyed.

How to submit your documents

  • Resumespersonal statements/statements of intent, and research proposals can be submitted by any method you prefer including e-mail, regular mail, confidential fax, etc.
  • Reference letters must be submitted by the author(s) directly to us if sent by fax or e-mail and, when sent by email, should originate from an email address that is verifiable (e.g., professional letters from a corporate domain, academic references from an institutional domain, etc.). Applicants are permitted to submit original hardcopies by mail. To be considered valid, letters of reference must be program-specific, dated within 6 months of application, signed by the author, and include at least one contact number whenever possible.
  • Official transcripts are typically submitted directly to RRU from the issuing institution by mail in the issuing institution’s original sealed (unopened) envelope. Transcripts sent by fax or e-mail will only be accepted if they are sent directly from the Registrar’s Office at a recognized Canadian institution, however applicants are expected to request a hardcopy to follow.

If applicable:

  • Applicants claiming permanent resident or Convention Refugee status in Canada must show proof of resident status by providing a copy (front and back) of their Permanent Resident Card (PR Card). Submit a copy of this card by mail, fax, or e-mail. Students will be required to show the original card upon arrival at Royal Roads University.
  • If a portfolio is requested, we generally recommend submitting these documents in a digital format (disk or flash drive).
